University of East Anglia Graduations

Background

The University of East Anglia hosted its 2025 graduation ceremonies over five days, with three sessions each day welcoming more than 1,000 graduates and guests per session. The ceremonies were produced by Hickman & Grange, who asked We are OPS to deliver event health and safety services throughout.

OPS already had a strong relationship with UEA, having supported previous student events such as Welcome Week. For this project, we were brought in to oversee health and safety across the build, live event and break. Our team worked closely with Hickman & Grange, UEA staff and suppliers in the months leading up to the ceremonies to make sure everything was in place.

The services we provided included client liaison, auditing supplier documentation, attending planning meetings and briefings, setting up a new safety induction, and acting as on-site safety advisors throughout. This was a standalone OPS project, rather than one delivered in partnership with Placemaking or The Fair.

Challenges

  • Weather and thunderstorms: The event saw both very conditions and heavy rain, with lightning recorded during the break. We used a lightning strike monitoring app and enforced stoppages when necessary. We also liaised with the client and made sure indoor spaces were properly ventilated and air conditioned, addressing concerns raised from previous years.
  • Turnarounds between sessions: With three ceremonies each day, and only an hour between them, thousands of people needed to exit and enter safely in a short period of time. We managed this by preventing re-entry, clearing the hall quickly, communicating with guests and opening doors earlier when queues built up. Each session was assessed individually and adjustments were made as needed.
  • Shared venue use: The graduations took place in the university sports centre, which remained open to other users. We made sure fire exits stayed accessible and included additional occupancies in our capacity calculations, removing any crossover safety concerns.
